Executive Assistant

Reporting to the Vice President, Enterprise Technical (ETech) you will provide a strategic level of administrative support, coordination, organization and information management. You will use your expertise to:

  • Manage and schedule the VP’s Outlook calendar, inbox, events, tasks, and contacts and strategically plan, schedule and track meetings and events
  • Plan travel throughout the year, making sure that all arrangements are accurately and strategically executed
  • Work with Human Resources (HR) and Communications and assist with the organization of area town halls (120+ people) and workshops (12-15 people) to ensure the maximum benefit of all attendees
  • Act as a liaison for internal parties as well as external organizations (industry associations, government agencies, and suppliers)
  • Coordinate all in-person meetings, teleconferences or video conferences and distribute all related materials including agendas, support documents and pre-reads
  • Take meeting notes and track action items and key messages
  • Liaise with Communications and HR to develop and approve articles regarding department messages and announcements
  • Ensure thoughtful and strategic workspace allocation and development for the ETech group
  • Engage meeting services and facilities to manage meeting room equipment and functionality
  • Process payment requests (memberships, subscriptions, cheque requests, personal business expenses) and prepare and submit monthly Visa statements
  • Provide time administration for the accurate management of team absences (vacations, sick days, PTO’s)
  • Provide mentoring and guidance to the administrative team within the department as well as provide coverage for other executive assistant absences within the Upstream business unit

Must-haves (minimum requirements):

  • 10 years of work experience as an executive assistant or administrative assistant, which includes managing an executive’s schedule, large amounts of information and multiple priorities
  • A passion for technology and willing to learn new things
  • An exceptional understanding of Microsoft Office, particularly Outlook and Microsoft 365
  • Experience in Livelink and its taxonomy and permissions protocols
  • Deep knowledge of CISCO and Lync video conference resources including setting up and troubleshooting
  • Superior social and communication skills (both written and verbal) and the ability to develop strong collaborative relationships
  • Strong organization skills
  • A consistent demonstration of a collaborative work style, adaptable to change and able to work in a dynamic environment
  • Motivation, initiative and a strong, proactive and can-do work ethic
  • A continuous improvement mindset enthused by a dynamic and changing work environment
  • A High School Diploma or General Education Diploma (GED)

Preference for:

  • Knowledge of OneDrive and OneNote
  • Experience with SuccessFactors
  • An office administration diploma/degree or equivalent education and experience

  • You will work out of our Calgary head office, located in the Suncor Energy Centre at 150 – 6th Ave S.W.
