Site Administrator

Reporting directly to the VP, In Situ and supporting the rest of the leadership team and our site partners, you will provide value added administrative support, coordination, organization and information management. 


You will use your expertise to:

  • Maintain and contribute to a positive and engaging work environment on site.
  • Perform duties of intermediate complexity and diversity, requiring basic analysis and exercise of judgment
  • Calendar management for the vice president and his directors
  • Provide advanced administrative support to the site leadership team
  • Schedule meetings, manage attendance and guest invites
  • Post documents as required
  • Prepare and coordinate meetings for attendees, including agendas, pre-reads, meeting minutes and action items
  • Update the floorplan as required and prepare offices for onboarding
  • Coordinate with other administrators on town halls, Leader Alignment Sessions, and other significant events
  • Organize safety meetings, team building exercises, celebration events and off-site meetings, including selecting appropriate venues, catering and travel itineraries as required.
  • Manage expenses by reconciling cost center items, building shopping carts in SAP and processing, and submitting monthly credit card reconciliations.
  • Manage the appropriate Microsoft Office Teams sites for leadership.
  • Active member of site committees
  • Maintain a high level of confidentiality
  • Manage access requests to ECMS, Livelink and Outlook Distribution Lists
  • Coordinate all travel bookings for the Firebag leadership team

Must-haves (minimum requirements):

  • Five years of experience in an administrative position or a similar role
  • Advanced administrative skills including computer skills in the Microsoft Office suite including Word, Excel, Teams and PowerPoint
  • Alignment with our values: safety above all else, stronger together, operational discipline, curiosity and lifelong learning, and act with integrity

Preference for:

  • Very strong organization and exceptional collaboration skills with the demonstrated ability to be resourceful and agile
  • Excellent interpersonal skills and strong written communication skills
  • Strong relationship building skills
  • Proven ability to set up and coordinate video and audio conferences
  • Experience in SAP
  • Basic data analysis, and knowledge of functional areas of the business
  • Understand complex processes, and strive to develop and implement continuous improvement and creative process enhancements

Preference for:

  • Post-secondary education
  • SAP and Livelink experience (workflows, shopping carts, Livelink permissions and collaboration rooms); OneNote, Microsoft Teams and Yammer experience
  • Proven experience working with multiple partners


Where you’ll be working, your work schedule, and other important information:

  • You will work out of our Firebag location, which is our largest in situ operation and one of the largest in the world (and located 120 km northeast of Fort McMurray, Alberta). 
  • Hours of work are a regular 40-hour work week, Monday to Thursday, with the potential for extended work hours based on business needs
  • This a camp-based position that is fly in/fly out from one of our main hubs
