Coordinator, Document Control

Job Overview

Reporting to the team leader, document control, you will be responsible for conformance to the document management process by ensuring all records are correctly managed and meet internal standards.

Key Accountabilities

  • Input, maintain and organize records to ensure efficient access and meet service level expectations
  • Operate our electronic document system to manage the registration, distribution and tracking of documents and records including technical and non-technical
  • Attain a clear understanding of corporate asset information management (AIM) standards, processes and procedures to provide direction and guidance regarding the assigning of document and record numbers
  • Act as the main point of contact for all AIM coordination support
  • Demonstrate good judgement in selecting, classifying and analyzing data from a variety of sources
  • Build positive relationships with other team members, clients and contractors while providing superior support when responding to requests for information by performing request analysis and investigation both internally and externally
  • Complete regular formal quality checks on documentation and records submitted to the system
  • Assist in the generation of report to provide statistical input for the monthly stewardship and critical metric reporting

Required Qualifications

Experience and Education:

  • Three or more years of related experience
  • Post-secondary education preferred in engineering technology or information management
  • High School Diploma or General Education Diploma (GED)

Skills and Knowledge:

  • You possess strong communication skills with the ability to collaborate with others in order to achieve the best results and deliver the most value.
  • Knowledge of pipeline engineering terms and technologies
  • Strong analytical skills, attention to detail, able to prioritize and capable of working independently to manage your time to meet deadlines
  • Proficient knowledge of Microsoft Office products specifically Excel. Working knowledge of Livelink and CERLL, document management systems (DMS), Adobe Pro are considered an asset
  • You react quickly to problems to resolve them before they advance

Working Conditions

  • You thrive in a dynamic environment with multiple priorities, challenging demands, and strict deadlines
  • This can be a physical role that requires you to perform some moderate lifting (up to 20 pounds)
